Privacy Policy
This notice explains how AXITRUST PRIVATE LIMITED handles personal data through tendersaathi.com and its tender consulting service. It is prepared with India’s Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 in mind. Statutory obligations and remedies apply as their relevant provisions come into force.
1. Information we collect
The enquiry form collects your name, mobile number, email, company name (optional), whether you have applied for a tender before and the timing of your next tender. We record your consent and the privacy notice version presented with your enquiry. To confirm the mobile number is yours, we send a one-time code to it by SMS; we keep only a coded version of that code, which expires after ten minutes.
We may also retain correspondence needed to answer your enquiry. Hosting and technical service providers may process limited connection records, such as IP address, browser type and request time, to operate and protect the website.
Please share only information relevant to your enquiry. Do not send passwords, one-time codes or another person’s personal data without permission. This service is intended for adults acting for a business. Please contact us if a child’s personal data has been submitted.
2. Why we use it
We use the details you voluntarily submit to respond to your enquiry, understand your tender requirements and arrange the requested consultation. We may contact you by phone, email or WhatsApp using the details you provide.
3. Your choice and withdrawal
You may withdraw consent at any time. Reply to a message asking us to stop, or contact the Grievance Officer below.
If you ask us to stop all enquiry-related processing, we may be unable to continue the consultation. Withdrawal does not undo earlier lawful processing. We will stop the relevant use and instruct our service providers to do the same unless retention is required by applicable law.
4. Who has access
Access is limited to our team members who need it for the stated purposes and service providers needed to run the service. These may include website hosting, enquiry management and communication providers. They may process the information only for our service and under appropriate confidentiality and data handling obligations.
We do not sell personal data or share it with other businesses for their own promotional use. Any legally compelled disclosure will be limited to what applicable law requires.
5. How long we keep it
We keep enquiry records while responding to your request or delivering support you have agreed to receive. Once those purposes end, we delete or anonymise the records unless a specific legal obligation requires retention. Information retained for such an obligation is restricted to that purpose.
We keep your enquiry details and consent record while your enquiry is active and the stated purpose continues. After withdrawal, we retain only records needed to honour your preference or meet an applicable legal obligation. Technical records are kept only as long as needed to operate and protect the service or satisfy applicable law.
6. Cookies, analytics and advertising measurement
The tools below load when you open this website. You can turn them off at any time with the Cookie settings link at the foot of every page: after you choose No thanks they do not load on your later visits, and the enquiry form works exactly the same.
We use:
- Google Analytics, to see how visitors find and use this website, such as which pages are viewed and which buttons are pressed.
- Google Ads conversion measurement and remarketing, to learn which of our adverts led to a call or an enquiry, and to show our adverts again to people who have visited this website.
- Meta Pixel and Microsoft Clarity. Meta Pixel measures our adverts on Meta in the same way. Microsoft Clarity shows in aggregate how pages are used, and it hides what is typed into the form.
These tools set cookies or similar identifiers in your browser. They never receive the name, number or email you type into the enquiry form. They are run by Google, Meta and Microsoft, which may process this information outside India under their own terms and the restrictions described in section 7.
You can change your choice at any time with the Cookie settings link at the foot of every page. Your choice is remembered in your own browser. Hosting infrastructure may use strictly necessary technical mechanisms to deliver the website.
7. Care of your information
We use reasonable technical and organisational safeguards appropriate to the information and its use. These include restricted access and protected transmission. If a personal data breach affects your information, we will notify you and the relevant authority as required by applicable law.
If a service provider processes information outside India, any transfer must comply with applicable Indian restrictions and the purposes described here.
8. Your privacy rights
You may ask us for a summary of your personal data and its use, details of relevant sharing, correction of inaccurate information, completion of incomplete information or erasure when retention is no longer needed. You may also raise a grievance, withdraw consent or nominate a person to exercise applicable rights in the event of death or incapacity.
Contact the Grievance Officer to make a request. We may seek proportionate information to verify your identity. We acknowledge complaints within 48 hours and resolve them within 30 days. These are our stated service timelines. Where a statutory right or remedy has a commencement condition, it applies when that condition is met.
If you remain dissatisfied after using our grievance process, you may approach the Data Protection Board of India when the relevant complaint provisions apply. Nothing in this notice restricts a remedy available under applicable law.
